Core Responsibilities
The Records and Documentation Unit is the custodian of all official documents, historical archives, and operational records of the Ghana Hajj Board. This unit ensures that the Board operates with a high standard of accountability, transparency, and efficiency through proper documentation and data archiving.

- Pilgrim Records: Manage the safe storage, retrieval, and protection of pilgrim application forms, passports, medical reports, and visa documents.

- Archiving: Maintain comprehensive archives of previous Hajj operations, including flight manifests, accommodation data, agent reports, and government communications.
- Internal Documentation: Organize and preserve board meeting minutes, policy documents, contracts, memos, and official correspondence.
- Digital Records Transition: Work closely with the I.T. Unit to digitize historical records and implement an efficient electronic document management system (EDMS).
- Compliance & Audits: Ensure all records meet regulatory and audit requirements, and are accessible for periodic reviews, investigations, or research.
- Confidentiality: Uphold the highest standards of data security, confidentiality, and integrity in handling sensitive documentation.
